In CO3, you can expand your plan with extra features, that you can purchase at any time. Click on the “Users & Settings” button in “Account Settings”. In the “Manage your Plan” menu, you can manage or order your addons.
This addon specializes in handling the daily CRM and ERP tasks of retail stores.
From the Dashboard, you can make direct invoices, receipts with or without VAT. You can make a special invoice, called retail receipt. Receipts can be printed. The receipts’ print image is optimized to an 80mm or bigger receipt printer. Every receipt has a serial number starting with an “E”, and this number cannot be changed. Because of this serial number, the sale can be easily backtracked.
The saved receipts will automatically appear under the contact’s name, who made the receipt. Thus, every financial turnover can be queried. The retail addon will appear in the “Dashboard” module, hence you can make receipts, invoices, easier. That is, the one sitting behind the cash register can easily access this feature.
Naturally, the retail module also integrates directly with the Warehouse module. This means that retailers directly reduce stock quantities. This allows you to keep track of your retail traffic on a per-second basis.
1. Adding contacts
You need to add contacts, store by store. Every seller, who works at the store needs to be added as a contact. These contacts usually have Storekeeper and Accountant rights.
2. Opening a Warehouse
It is recommended to create a named warehouse linked to a retail store. Warehouse can only be opened, when a product is linked to it. We recommend creating a product called EXAMPLE, if you don’t want to start your warehouse with a real product. Of course, the product “EXAMPLE” can be deleted from the warehouse at any time.
3. Setting the rights of a Storekeeper
You can view the users, who have the Storekeeper rights in “Products & stock” – “Settings” – “Storekeeper’s Rights”. Link warehouses to sellers named same as the store where the sellers work. You can do this by clicking the “Edit” button.
While working, the seller can select and decrease the number of products from the warehouse, where he/she is working. After this, you can also set which users can do special tasks in which warehouses. Settings can be saved by pressing the “Save” button.
This addon helps to completely manage your petty cash. This addon can be found in the “Finances” module. Managing more cash in more accounts at one time is possible. Different currencies can be managed in different accounts. It is connected to the “Finance” module, so for example, in the case of a cash payment account, the cash receipt will be made automatically. We have a separate chapter about this addon which you can access by clicking here.
The current account function is embedded in the “CRM” module. In this window, you can track a contact’s payments, or even existing debts. From the “Current account” menu, an invoice can be directly made for the contact. This function makes possible to automatically bill often repeated invoices.
To make the function work, first you need to create an invoice for the contact. After this, in the “Automatic billing” row, by pressing the “Settings” button, you can: set the billing period (weekly, monthly, quarterly), set the display of the period (present, future, past), decide to send the invoice in an email or not, or suspend the invoice.
The setting must be done once for each contact involved. You can start the invoicing from “Finances” – “Useful” – “Automatic billing”. The contacts, who were selected to receive an email, will get the invoice automatically, while the others will receive a pdf once every 500 invoices, which sums everything up.
Do you want to know who, what and when is working in your CO3 account? If yes, with the help of this addon, you will be able to easily track user’s activities from a central place.
The addon tracks every activity and works like a sensitive sensor. Activities are like: deleting a contact from the “CRM” module, changing the account’s password or even deleting a customer’s order. CO3 records the time, the activity, the place and the operator of the activity.
It does that by utilizing the Common Log Format (CLF). The system collects data into a log file and stores them for 30 days back. Log files can be viewed by the ones, who have access to them, or can be downloaded as an XLS file for further work. Event logging in this way begins after the addon is successfully activated.
The addon can be accessed through “Users & Settings” – “Event log”.
We deal with this addon in a seperate chapter.
